Privacy Policy

Information you give us: your name, phone number, email, service address, and details about your pool or equipment. When you text us: your number and messages.

When you submit our contact or estimate form, your information is emailed to our business mailbox, which is hosted by Google. To block spam, our website host (Netlify) briefly keeps a scrambled (hashed) version of your IP address to limit how many times a form can be sent each hour, and it keeps basic error records. If the email fails to send, a backup copy of your request is saved with Netlify so it isn't lost. We keep that copy only until we can follow up with you, and then we delete it.

When you call 817-339-6770, our virtual receptionist answers. We record voicemails, and we may record other calls when needed, with an automated notice. Calls answered by our virtual receptionist are transcribed (turned into text) so we can follow up. We collect your phone number, the time and length of the call, and what you tell us.

We record voicemails. On calls with our team, we may record a call when needed, for example to document job details. When we do, you'll hear an automated notice when recording starts and stops. Those recordings are kept by our phone provider for up to 90 days. When our virtual receptionist answers, the call is transcribed as it happens: our phone and AI service providers process the conversation to understand it and reply, and the written transcript is saved with your request and may be included in the email alert our team receives. We automatically delete transcript text after 24 months, though we keep your contact and job details. Our providers keep limited logs, generally up to about 30 days, for security and troubleshooting.

Our website is hosted by Netlify. Like most web hosts, Netlify automatically records basic technical information when you visit, such as your IP address, browser type, the pages you request, and the date and time. It uses this information to deliver the site, keep it secure, and troubleshoot problems, and keeps it for a limited period.

Our virtual receptionist uses service providers to turn speech into text, write and speak its replies, and connect your call. Our staff get the transcript and a short summary so we can call or text you back. We use it only to handle your request. Our phone, texting, and AI service providers are not permitted to use your call recordings, transcripts, or text messages to train their general-purpose AI models. Some providers may use this information only to provide, secure, and improve the services they deliver to Lucent Pools LLC, and some keep limited logs for a limited period to investigate security issues, abuse, or technical problems.

To answer your call or message, schedule and do the work, send estimates and invoices, follow up when a call ends before we can help, keep service and license records, keep our systems secure, and improve our website and service. We do not sell your personal information, and we do not use it for targeted advertising.

We share information only with service providers that work for us, such as our phone, texting, speech-to-text, AI assistant, email, website hosting, analytics, scheduling, and payment providers (such as QuickBooks Payments (Intuit Merchant Services)), and only so they can provide those services to us. We may also share information if the law requires it, to protect our rights or someone’s safety, or as part of selling the business.

If you call 817-339-6770 and the call ends before we can help, we may send one text to the number you called from. After that, we text only to reply to you about your request. Message frequency varies (usually one text after a missed call, then replies to your messages). Message and data rates may apply. Reply STOP to opt out or HELP for help. We do not sell or share your mobile number or your text-message consent with anyone for their marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Call recordings: up to 90 days with our phone provider. Transcript text: deleted after 24 months; we keep your contact and job details. Voicemails: kept for a limited period. Service, estimate, and invoice records: at least 4 years after the work, as Texas licensing rules require, and longer if tax law requires. Text-message consent records: 5 years after our last text to your number. Opt-out records: as long as needed to keep honoring your request. Website analytics: as set in our Google Analytics account (currently 14 months).

Texts: reply STOP, or tell us any other way (call or email) and we’ll stop.

Cookies: you can block or delete cookies in your browser settings, and opt out of Google Analytics at https://tools.google.com/dlpage/gaoptout. Analytics cookies load only if you click Accept on our cookie banner.

Your information: to see, correct, or delete your information, email service@lucentpools.com or call 817-339-6770. We’ll answer within 45 days and may need to confirm who you are. We keep some records even after a deletion request, such as invoices, license records, and the record of your opt-out (so we keep honoring it). If you disagree with our answer, reply and we’ll take another look within 60 days.

We use reasonable safeguards and limit access to people who need it. We keep gate codes and access notes confidential.

Our site and services are not directed to children under 13. If we learn we’ve collected information from a child under 13, we’ll delete it.
